Insurance

Insurance runs on trust. Every part of your agency's technology has to protect it.

Your agency management system, your carrier portals, your email, your backups, your cyber policy, your IT provider. All of it real, all of it in place. The question is whether all of it works together when something goes wrong.

Where insurance organizations are exposed
Email is the attack surface. Certificates, binders, claims and premium instructions all move through it.
Client data sits everywhere. Loss runs, dec pages, SSNs, health details, driver records.
Carriers and vendors are inside your risk. Their breach becomes your breach.
Producers work everywhere. Homes, cars, client offices, personal devices.
Your own carrier is asking harder questions at renewal.

The blind spot

Everything is covered. Nothing is connected.

Four situations that illustrate how the gap shows up in an insurance organization that has done everything right.

Illustrative scenarios. Composite examples drawn from common insurance operations, not CloudSource client cases.

You probably don't need more tools. You need to know which of the ones you're already paying for isn't doing its job. That's what the assessment is for. One call, no cost, and you keep whatever we find.

The problems we solve

Three gaps insurance organizations can't afford to overlook

Three places where insurance operations quietly outgrow the protection around them, what each one costs the business, and what it looks like once it is closed.

Gap 01 ExposedClosed

Email is doing more than it was ever secured to do

What it costs

Certificates, binders, claims, renewals and payment instructions all move through email, and it is often protected with whatever came with the mailbox. A single convincing thread can move money or expose an entire client file.

What closing it looks like

Authenticated sending, inbound impersonation detection, and a verification step on anything that changes money or coverage.

Gap 02 ExposedClosed

Client data has no boundary

What it costs

Loss runs, dec pages, applications, SSNs, medical and motor-vehicle detail. It is in the AMS, in mailboxes, in shared drives, in carrier portals, on producer laptops, in downloads nobody deleted. You cannot protect, or prove you protected, data you cannot locate.

What closing it looks like

A known map of where regulated client data lives, who can reach it, and what happens to it when a producer leaves.

Gap 03 ExposedClosed

Nobody owns the whole picture

What it costs

An IT provider, a phone vendor, an AMS vendor, a backup tool, a cyber policy and a carrier portal team. Each owns a piece. None owns the outcome. Every incident starts with a conference call about whose problem it is.

What closing it looks like

One accountable partner who owns the outcome and coordinates the rest, so the question is "when is it fixed," not "whose is it."

These gaps do not stay small. Closing them early is what keeps them from becoming an incident, an E&O conversation, or a difficult renewal.

What we review

Seven areas, reviewed together, not seven separate checks

A complimentary assessment of the technology your agency actually runs on. No cost, no obligation, and you keep the findings either way.

Seven areas, one review All seven, together, not seven separate checks

  1. 01

    Email and impersonation

Your sending authentication, what a lookalike domain can do to your producers, and how a payment-instruction change is verified today.

  2. 02

    Client data

Where regulated client information lives, who can reach it, and what leaves with a producer who resigns.

  3. 03

    Continuity and recovery

Whether a restore has actually been tested, and how long producers and service staff would be down.

  4. 04

    Devices and remote work

Managed versus unmanaged, offices versus homes versus cars.

  5. 05

    Vendors and carriers

Which third parties can reach your systems and data, and what happens when one of them is breached.

  6. 06

Security controls you may be asked to demonstrate

Multi-factor authentication, endpoint security and monitoring. We review what you have in place against what your organization is being asked to show, so you know where you stand before the question comes up.

  7. 07

    AI use

What staff are already putting into AI tools, and whether there is a policy.

A stronger security posture can support better conversations with your insurer.

How it works

A clear process. No guesswork

Four steps. The first two cost you nothing but a conversation.

Step 01

We listen first

What the agency is trying to do, where the friction is, what keeps you up. Before anyone talks about technology.

What it takes from you: a conversation.

Step 02

We assess

The seven areas above, documented, in plain language, with what we found and what it means.

What it takes from you: a short review window.

Step 03

We close the gaps in priority order

Highest exposure first, on a schedule you approve, at a predictable cost.

What it takes from you: a decision, on your timeline.

Step 04

We stay accountable

One partner, proactive monitoring, and a named team that already understands your agency when you call.

What it takes from you: nothing.

Common questions

Questions we hear before every assessment

01We already have an IT provider. What is different here?
Most agencies have someone who fixes things. The gap is usually ownership: who is responsible for the outcome when email, the AMS, a carrier portal and a backup tool are all involved in the same incident. We take that ownership and coordinate the rest.
02Will this help with our cyber insurance renewal?
We review the controls you are likely to be asked about, multi-factor authentication, endpoint security and monitoring, and show you where you stand before the renewal conversation happens. A stronger security posture can support better conversations with your insurer.
03We have producers in three offices and two states. Does that change anything?
It changes what "secure" has to mean. The standard has to travel with the producer rather than live in one office: managed devices, managed access, and the same protection whether someone is at a desk, at home, or in a client's conference room.
04Our staff have started using AI tools. Should we stop them?
Usually no. You need a policy before you need a prohibition. 83% of SMBs say AI increases their cybersecurity risk, but only 51% have put a security policy in place for it, per ConnectWise's State of SMB Cybersecurity 2025 report. We help you define what can and cannot go into those tools, then enforce it.
05What if the problem is one of our vendors?
Then it is still your clients' data. Third-party involvement in data breaches has doubled to 30%, per Verizon's 2025 DBIR. We review which third parties can reach your systems and what happens when one of them is compromised.
06How long does the assessment take?
A conversation, then a short review window. You get the findings in plain language whether or not you work with us.
