The basics

What a visitor management system does

A visitor management system replaces the paper sign-in sheet and the front desk guesswork with one record of who came, who they met and when they left. Here is how that works in practice.

  1. 01

    Check-in that fits the visit

A visitor check in system lets you set the steps for each kind of guest. Verkada describes Verkada Guest as a visitor management system with custom check-in flows, questionnaires and document signing such as NDAs. A contractor and an interview candidate do not need the same screen.

  2. 02

Hosts hear about it on arrival

A visitor sign in system is only useful if the right person knows a guest has arrived. Verkada says Guest notifies hosts by email, SMS, Slack or Microsoft Teams when visitors arrive or leave, so reception is not the only messenger.

  3. 03

A log you can look back on

Every visit becomes a record. Verkada says Guest keeps visitor logs and works with Verkada cameras, so a name on a log can be matched to what happened at the door when you need to review it.

What it can include

Features that can work together for the front desk

The value shows up when visitor check-in, video intercoms, access workflows and deliveries can work together. Guest, Access Control, Intercom and Mailroom are separate components, selected and configured for each project. That scope includes Verkada's workplace capabilities, such as Mailroom for package handling and supported ID screening. The exact functionality depends on the products and configuration selected. Here is each piece, with Verkada's description of it.

Custom check-in and paperwork

Verkada says Guest supports custom check-in flows, questionnaires and document signing. That means NDAs and site rules can be handled at the door instead of by email afterward.

Time-bound visitor access

Verkada says Guest can issue time-bound visitor access through keycards, unlock links, codes or QR codes. Visitor access follows the configured access window and permissions.

Optional ID screening and deny lists

Verkada says Guest can screen visitors' IDs against registries and use custom deny lists. Whether that fits your building is a policy decision we would talk through with you before turning anything on.

Business intercom with remote answer

A commercial intercom system lets a visitor reach someone from the door. Verkada says its intercoms can include a door controller and badge reader, and calls can be answered remotely, which helps when no one sits at the entrance all day.

Mailroom and package tracking

Verkada Mailroom tracks deliveries by scanning packages and notifying recipients. Package tracking stops being a pile on a shelf and a round of emails asking who has what.

Retention controls

Verkada says Guest offers data retention controls, including automatic deletion after a set period. This helps you decide how long visitor records stay. Guest retention settings cover Guest visit records. They do not automatically delete associated Access Control events or profiles.

Choosing well

What to weigh before you pick a visitor management system

A few plain questions are worth settling before any rollout. These are the ones to start with.

Questions to settle before you choose
Cloud-based or paper

A cloud based visitor management system keeps records in one place and lets hosts be notified automatically. Paper sheets are hard to search, easy to read by the next guest and cannot alert anyone.

Who needs to be notified

List the people who must know when a guest arrives, such as hosts, reception or a property manager. Pick the channels they already read, whether that is email, text or chat.

How doors and intercom connect

Decide whether visitors should get time-bound door access, a buzz-in from the intercom, or both. Verkada says its access control works natively with its cameras, so door events can be tied to video.

What your site needs

Visitor rules depend on the site. A commercial property run by a property manager, a healthcare facility with a clinic front desk, a multi-location business and a corporate office each run differently. Deliveries and after-hours entry should be written down before settings are chosen.

Questions

What buyers ask

01What is a visitor management system?
It is a system that records who is visiting, who they are meeting and when they arrive and leave. A good one also notifies the host and can control door access for the visit. Verkada Guest is the visitor management system CloudSource builds on.
02How does a visitor management system work?
A guest checks in on a screen or through a pre-arranged invitation. They follow the check-in steps you set, then the host is notified. Verkada says Guest can issue time-bound access such as QR codes, codes or unlock links, and it keeps a log of the visit.
03Is a cloud based system better than a paper sign-in sheet?
For most offices, yes. A cloud system gives you a searchable record and host alerts, and guest details are not left on a shared sheet for the next person to read. Paper still works for very low traffic but it cannot notify anyone or tie to doors.
04How does an intercom system for business work?
A video intercom system for business sits at the entrance so a visitor can call someone from the door. Verkada says its intercoms can include a door controller and badge reader, and calls can be answered remotely. That lets someone grant entry without walking to the lobby. How access control ties in
05Does this work for apartments or multi-tenant buildings?
The same ideas apply to apartment and multi-tenant buildings, since guests, deliveries and door entry all need a clear process. Package tracking is a common place to start. We would review the entrances and tenant needs before any settings are chosen. See the full Smart Buildings approach
06How long are visitor records kept?
That is a setting you choose. Verkada says Guest offers data retention controls, including automatic deletion after a set period. Matching the period to your own policy is part of configuration. Guest retention settings cover Guest visit records. They do not automatically delete associated Access Control events or profiles.
